Exhibition area

The exhibition area will be open to workshop attendees from 1300-2100 on Tuesday 29th May and from 0830-1800 on Wednesday 30th. Stands will generally only be staffed when a workshop session is not in progress. We are very grateful for support from the following organisations who have helped make this workshop possible by exhibiting:

Notes for exhibitors

Set up will be from 1200-1300 on Tuesday 29th. Breakdown will be from 1800-1830 on Wednesday 30th.

iCubeSat 2012 is being held on the sixth floor of the MIT Media Lab (building E14) as shown on the map here. Parking information can be found here. Hand held materials and small rollers can be brought in on foot through the front entrance. Larger items should be brought in through the loading dock on Ames Street and then directly to the sixth floor via the frieght elevator. The loading dock can only take one vehicle at a time so we ask that you unload and park elsewhere before taking your items to the sixth floor.

Each booth or table will be provided with a single 110V power socket. WiFi (no password required) may be available but should not be relied upon.

Pop-up booth reservations are for a 10′ x 10′ area of floor space. You can use the existing carpet which is common to the whole room or bring your own (we recommend using the existing carpet). No table or chairs are supplied as standard with booth space but we can provide the same configuration as for a table (two chairs, one table, one dark red table-cloth) free of charge if you let us know no later than the 1st May. As the reservation is for an area of floor space, there are no walls so your booth needs to be free standing. Attaching items to the walls of the room is strictly prohibited by the venue.

Table reserverations are for a 6′ x 2’6′ table with dark red table-cloth and two chairs. Items may only be placed on the table top. No pop-up posters or other items may be placed on the floor around the table.

Exhibitors may provide a small number of flyers and other items for inclusion in the exhibition bag. Please confirm that what you propose to include is acceptable with your exhibition liaison contact before incurring any expense or shipping anything to us. Once you have received clearance from your liaison, please drop ship all items to arrive no later than 18th May 2012 to:

A member of the exhibition team will be in the exhibition hall at all times. They will keep an eye on unattended stands, but are not able to act as full time security guards, so any valuable items should be locked in display cases (provided by you) or removed from the stand when unattended.

Please note that our exhibition area is now full. If you wish to be placed on a waiting list in case a place opens up please register here. Opportunities to sponsor the Tuesday evening cocktail reception and dinner, Wednesday morning breakfast, and coffee breaks throughout the workshop are available – please contact exhibit@iCubeSat.org to discuss your needs. 

CubeSat companies and other vendors are invited to contact the workshop organisers to discuss opportunities to support the workshop and interact with a unique selection of attendees from academia, companies, space agencies and others from the Interplanetary CubeSat universe.

Exhibitors and attendees will mix throughout the workshop in an combined refreshments and exhibition area to maximise the opportunities for developing new partnerships.

We expect to be able to offer an extremely limited number of spaces for exhibitors for $250 per 6′ x 2’6″ table or $500 per 10′ x 10′ popup display floor space. Exhibition space will be allocated on a first come, first served basis with companies added to a cancellation waiting list in strict order of application if space sells out.

Each exhibit area will include a power connection and wireless Internet access and two chairs and will include acknowledgements of support in the workshop program and website. Please email exhibit@iCubeSat.org to reserve your space.
